Job Description

Job Purpose

The HR Officer will support the HR team in training administration and general HR operations such as maintaining HR inventory, processing routine administrative requests, and assisting various HR tasks to ensure the efficient day-to-day functioning of the HR department. The HR Officer will play an essential role in supporting employee engagement and development initiatives while ensuring accurate and timely management of HR records, resources, and communications.

Job Responsibilities

Training & Learning Administration

  1. Coordinate the administration of training programmes, including course registrations, scheduling, venue bookings, andtravel arrangements where required.
  2. Maintain and update staff training records in the HR system, ensuring accuracy and completeness of participation data.   
  3. Support preparation of training materials, attendance tracking, logistics arrangements, and feedback forms for training sessions.  
  4. Compile training participation records, evaluation summaries, and basic training statistics for internal tracking and reporting.
  5. Assist in researching and compiling information on available training programmes aligned with organisational and departmental learning needs.
  6. Support applications for relevant training grants or funding from government agencies where applicable.Assist in coordinating staff induction programmes and onboarding training activities.

HR Administrative & Operational Support

  1. Provide administrative support across HR functions including HR operations, recruitment coordination, and staff engagement initiatives where required.
  2. Maintain HR records, databases, and documentation to ensure proper record keeping and compliance.
  3. Support HR operational processes such as staff pass administration, healthcare-related payment processing, and other periodic HR administrative matters.   
  4. Assist in preparing HR reports, presentations, and internal communications.
  5. Support coordination of HR programmes, staff activities, or organisational initiatives where logistical or administrative support is required.

HR Coordination & Process Support

  1. Support collation of HR data for internal reporting, dashboards, and management updates.
  2. Maintain inventories of HR-related items (e.g. staff merchandise, recognition vouchers) and coordinate distribution when required.
  3. Support documentation and administrative coordination for HR projects or initiatives.

Other Duties

  1. Provide general administrative support to the HR team.
  2. Undertake other duties or projects as assigned.

Job Requirements

Qualifications

  1. Diploma in Human Resource Management, Business Administration, or a related discipline.
  2. Fresh graduates are welcome to apply.
  3. Prior internship or administrative experience in HR or office operations would be an advantage.

Skills & Knowledge

  1. Strong organisational and administrative skills with good attention to detail.
  2. Proficient in Microsoft Office applications (Word, Excel and PowerPoint).
  3. Good communication and interpersonal skills, with the ability to interact effectively with staff and stakeholders.
  4. Ability to manage multiple tasks and coordinate logistics while meeting deadlines.
