To continue the legacy of Goodwood Park, we are looking for dynamic and committed candidates to join our Sales & Marketing Department.
Job Summary:
Reporting to the Director of Sales (DOS), you will be providing administrative support to the Sales & Marketing department of the Hotel.
Job Responsibilities include, but not limited to:
- Manage the DOS's diary to co-ordinate meetings, appointments and to ensure smooth running of such meetings.
- Take meeting minutes.
- Preparation of memos, corporate letters, proposals, agreements reports etc. in a clear, precise and accurate manner for the Sales Team.
- Maintain record of collaterals and corporate gifts, ensure that stocks are readily available when required.
- Maintain the office stationery stock and requisite when required.
- Responsible for handling visitors, emails and telephone calls in an efficient and courteous manner. Ensure that all messages are communicated to the person concerned.
- Keep in view of the existing developments and events in the hotel and following up when necessary.
- Assists in planning and scheduling daily appointments for the Sales Team.
- Ensure that the filing system is properly maintained, for easy reference and retrieval of information.
- Maintain and update all accounts and their bookings. Maintain an accurate and update clients’ database from time to time.
- Assist in preparing proposal and contract for the Managers.
- Assist in preparing the month end reports and manage booker’s loyalty program.
- Ensure that clients’ profiles are recorded and updated in the databases.
- Assist to promote and nurture good relationships with key accounts of the Hotel and other sources of potential business. Maintain and promote corporate image of the Hotel.
- Assist to conduct site inspections in the Hotel.
- Follow proper reservation procedures and ensure that the relevant forms are completed timely and accurately.
- Assist to follow up on prospect and tentative bookings for Sales Team to close sale or confirm the bookings.
- Perform any other duties as may be assigned from time to time by the management.
Requirements
- Diploma or equivalent qualification in Hospitality, Business, or related fields.
- Prior experience in hotel sales coordination or hospitality administration is preferred.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office.
- Able to work under pressure and meet tight deadlines.
- Customer-focused with strong attention to detail.
- Able to commence work within short notice would be advantageous.
