A family based in Singapore is seeking a dedicated, trustworthy and proactive Personal Assistant & Household Manager to manage their household with precision, warmth, and professionalism.
If you’ve worked in hospitality, hotel operations, or events, we’d love to hear from you. Your experience in creating smooth, seamless guest or client experiences will be highly valued in this role.
You will play a key role in ensuring the home operates efficiently, supporting the Director and his wife with personal assistant duties while also overseeing household staff. This is an excellent opportunity for someone who thrives in a fast-paced environment and takes pride in maintaining high standards while meeting the expectations of a discerning and dynamic household. The ideal candidate is polished, discreet, highly organized and service-oriented with a strong background in hospitality or private household management.
Key Responsibilities
Household Leadership & Operations
- Provide leadership and oversight of the residence, ensuring exceptional standards of service, comfort, and efficiency.
- Oversee and manage household staff, including hiring, training, rostering, and development, managing work allocation and attendance schedules
- Ensure that high standards of organization, cleanliness, and presentation are maintained throughout the home.
- Maintain smooth household operations and through implementing well-designed systems, routines, and workflows.
Family Support & Schedule Coordination
- Coordinate daily schedules for the family, including medical appointments, school activities, lessons, social events, and travel plans.
- Manage the calendar, commitments, and social correspondence of the Director’s wife.
- Work closely with the Director’s office PA to align household and professional schedules, travel bookings, reservations and itinerary planning
- Maintain a high standard of service and professionalism within the household.
- Anticipate needs and prepare proactively for upcoming engagements and activities.
Procurement, Logistics & Financial Management
- Oversee procurement of household supplies, groceries, and other essential items through reputable vendors.
- Handle dining reservations and oversee food preparation and packaging when required.
- Maintain strict confidentiality in all personal and financial matters
- Manage petty cash, household expenses, budgeting, and financial records with accuracy and transparency.
- Monitor and liaise with vendors, household maintenance and service providers (e.g., AC servicing, landscaping, pest control) to ensure quality and timeliness.
Property, Facilities & Vendor Management
- Oversee property maintenance, repairs, and upkeep to ensure the residence remains in excellent condition.
- Manage household repairs, renovations and maintenance schedules.
- Coordinate cleaning, upkeep and liaising with contractors and specialist vendors for technical works and ongoing servicing.
- Address household-related issues promptly and with minimal disruption.
- Oversee home safety, security systems and emergency protocols.
Events, Hospitality & Guest Support
- Plan and coordinate family gatherings and special events, including logistics, staffing, menu planning, décor and vendor management
- Support event organization including guest lists, catering and entertainment.
- Coordinate with vendors and suppliers to deliver high-quality events.
- Maintain home readiness for guests and ensure a welcoming environment
Administrative Support & Confidentiality
- Manage incoming mail, confidential documents, and secure filing systems.
- Coordinate with office staff and external partners on administrative matters.
- Uphold the highest standards of discretion, privacy, and confidentiality in all household and family matters.
Requirements
· Minimum of 3 years’ relevant experience supporting senior executives and their families in a similar capacity
· Outstanding references from both current and previous employers; references will be checked
· Experience in event management is an advantage.
· Excellent command of English (written and spoken); Mandarin or Malay is a plus.
- Exceptional organizational and multitasking abilities. Plus superior process, project, and time-management skills
· Highly proactive, hands-on, resourceful, and able to work independently with strong judgment.
· High integrity, discretion, confidentiality, and trustworthiness.
· Able to stay composed and manage stress in challenging situations.
· Low key, meticulous, personable, detail-oriented, patient, and thorough.
· Strong interpersonal skills; able to work effectively with family members, staff, and external vendors.
· Familiar with Singapore service standards and local vendors.
· Flexible, reliable, service-oriented, and willing to work weekends on very rare occasions when needed.
· Valid driver’s license is an advantage.
· Must be comfortable working in an environment with pets and children
· Clean background check.
· Excellent computer and technology skills.
