Job Description
Administrative matters:
- Support coordination of company activities or administrative logistics as required
- Maintain confidential HR and administrative records in an organized and secure manner
- Assist leadership with ad-hoc administrative projects and operational support
- Other ad-hoc HR & Administrative duties
HR Operation:
- Administer day-to-day HR activities including onboarding, probation tracking employee queries, and document preparation
- Track employee performance reviews and probation assessments, assisting line managers with documentation and HR recommendations
- Support and manage recruitment coordination including scheduling, candidate communication, and interview follow-ups
- Manage resignation and exit processes including documentation, employee guidance, and coordination with managers and payroll
- Handle HR matters such as leave handling, insurance, and employee relation queries
- Handle government claims
- Training and Development: Source training courses relevant to staff upgrading and career development
- Ensure compliance with local labor laws and company policies in all HR processes, keeping management informed of updates or potential issues
- Support HR reporting and analytics, providing insights into headcount, leave trends and recruitment progress
- Support cross-border HR processes for overseas staff
Communication and Documentation:
- Support in policy drafting and dissemination of information
- Draft support letters and documents
- Ensure documents are in proper standard format and follow company’s brand guidelines
Recruitment:
- Support on JD preparation and ensuring document validity
- Source candidates through job portals
- Screen resumes and shortlist suitable candidates based on role requirements
- HOD conducts first-round HR interviews to assess suitability, cultural fit and salary expectations
- Coordinate end-to-end recruitment logistics including interview scheduling, hiring manager engagement and candidate communication
- Support salary proposal communication and hiring documentation.
- Track candidate pipelines and ensure timely updates to stakeholders.
**Knowledge of Mandarin is an advantage
