HR Operations & Administration
• Manage and maintain employee records, files and HR documentation in compliance with company policies and PDPA requirements.
• Prepare HR letters including employment contracts, confirmation letters, extensions, and other employee lifecycle documents.
• Track probation periods and assist in coordinating confirmation reviews with managers, ensuring timely follow-up and documentation.
• Handle HR enquiries from employees and provide timely support.

Onboarding & Offboarding
• Prepare onboarding kits (IT equipment, welcome pack) and coordinate with relevant departments (IT/Facilities).
• Conduct new hire orientation and ensure smooth settling-in for new employees.
• Handle offboarding procedures, including exit interviews, clearance forms, and final payments coordination.

Work Pass Administration
• Coordinate with appointed work pass vendor, on all work pass-related matters.
• Support the submission and processing of work pass applications (EP, S Pass, Dependant’s Pass, LTVP), renewals, cancellations, and issuance.
• Ensure accurate tracking of application statuses and maintain compliance with MOM regulations.

HR Systems & Data Management
• Liaise with Shared Services Team to update HR systems and databases (e.g., employee movements, personal details, leave balances).

General Administration
• Provide administrative support for HR projects and initiatives.
• Ensure HR policies, templates, and SOPs are kept updated.
• Prepare internal communications, announcements, and promotional materials for HR initiatives, wellness programs, and company events.
