💼 Executive Assistant – Pharmacy

📍 Location: Queenstown

🕒 Working Hours: Mon – Fri, Office Hours

💰 Salary: Up to $2600

📝 Job Scope:

• Manage schedule for Head of Department (HOD)

• Coordinate meetings, book venues, collate agendas, and arrange catering when necessary

• Coordinate department meetings and team-building events

• Facilitate onboarding of new staff, including raising system and tap card accesses, coordinating onboarding process, and following up with HR on issues

• Collate and update relevant data/workload for cost management and departmental improvement

• Handle purchase and work requisition processes, including calling suppliers for quotations and submitting invoices to Finance for payment

• Handle claims for the department (subvention or external grants)

• Reconcile dropped charge reports for assigned jobs

• Assist in internal and external audit reviews by providing requested documents

• Handle procurement-related documentation (Purchase Requests, Sourcing Requests, Approval to Procure papers)

• Record and produce meeting minutes

✅ Job Requirements:

• Min. Diploma in any field

• No experience as training will be provided

• Good understanding of accounting and figures

• Proficient in Word, Excel, PowerPoint, and SAP system

• Critical thinking and problem-solving ability

• Adaptable and able to work independently
