Job Description
Job Responsibilities
Document & Records Management
To maintain, update, and validate Excel scoresheets, ensuring all formulas, and formatting are accurate and aligned with assessment requirements.
To conduct pre-module checks to verify scoresheet readiness.
Academic Administration
To consolidate and prepare documents for moderation, ensuring that files are named correctly and consistently.
To upload moderated and finalised marks into Student Management System (SMS) [Vitae] for moderator’s review.
To track and follow up with moderators to ensure that relevant modules' marks are reviewed in the system for results release.
Verification of Payment for Adjunct Lecturers (ALs)
To monitor marking completion date for inputs into ALs’ payment tracking list.
Administrative and Support & Learning Systems Support
To coordinate call-over processes and verify the accuracy of entries in the SMS.
To support course teams in ensuring accurate marks/grades entry into SMS and provide support to the Adjunct Lecturers (ALs) in the navigation of the Learning Management System (LMS).
To provide exigencies support to ALs for SMS, LMS and related platforms (eg: MS Teams and Zoom).
To maintain organised records for compliance requirements.
Faculty and Interdivision Liaison
To collaborate with sub-teams if needed, with administrative processes
To identify gaps and communicate with relevant division to close gaps on academic administrative processes and SMS entries
Continuous Improvement and Initiative Support
To align administrative processes with organisational mission and goals.
To contribute to process improvements to enhance operational efficiency.
To track recurring issues and report them in meetings.
To offer feedback and ideas to improve services for students and faculty.
To support decision-making through relevant data and insights.
Job Requirements
Possess at least a Diploma qualification
At least 1 year in administrative and coordination roles
At least 1 year relevant work experience in the Education environment (preferred)
Technical skills:
Proficient in Microsoft Office Suite (especially Excel and Outlook).
IT-savvy for handling LMS platforms and administrative systems.
Soft Skills:
Meticulous, detail-oriented, and highly organised
Strong interpersonal and communication skills; Ability to communicate in Mandarin is advantageous as the role requires regular engagement with Mandarin-speaking learners.
Resourceful with strong analytical and multitasking capabilities
Ability to work independently and as part of a team
Committed to providing excellent support to learners, faculty and stakeholders
Respond positively to unexpected situations and implement appropriate follow-up actions aligned with organizational values
