The Opportunity
We are seeking a dedicated and proactive Executive Assistant to support our leadership team. This is an excellent opportunity for a highly organized professional with an interest in sustainable and thoughtful real estate to provide essential high-level administrative support in a dynamic, entrepreneurial environment.
You will work closely with senior leaders, managing complex schedules, coordinating stakeholder interactions, preparing materials for key decisions, and ensuring smooth day-to-day operations across our growing portfolio of sustainable properties. The role offers direct exposure to senior management, strategic initiatives, and the full real estate value chain in a close-knit team where initiative and ownership are highly valued.
Key Responsibilities
Executive & Administrative Support
- Manage complex calendars for the founders, including scheduling internal/external meetings, coordinating across time zones, and prioritizing commitments.
- Act as the primary point of contact for internal and external stakeholders, handling communications with professionalism and discretion.
- Prepare, edit, and proofread high-quality documents, presentations (PowerPoint), reports, investment papers, and correspondence.
- Organize and maintain confidential files, databases, and records related to assets, leases, valuations, and projects.
Meeting & Event Coordination
- Arrange and coordinate meetings, site visits, investment committee sessions, and industry events (including logistics, agendas, minutes, and follow-ups).
- Support preparation for URA engagements, regulatory meetings, or sustainability-focused forums.
- Coordinate travel arrangements, itineraries, accommodations, and expense reporting as needed.
Asset Management & Operational Support
- Assist in tracking portfolio performance metrics (e.g., occupancy, NOI, budgets) by compiling data and preparing summary reports or dashboards.
- Support leasing, acquisition, and asset enhancement processes through document preparation, due diligence coordination, data room organization, and follow-up on action items.
- Liaise with internal teams (e.g., Property Management, Legal, Finance) and external partners (brokers, consultants, contractors, valuers) to ensure timely information flow.
- Monitor deadlines for budgets, valuations, regulatory compliance, and reporting requirements.
Project & Special Initiatives
- Take ownership of ad-hoc projects, such as organizing team events, sustainability reporting, or market research summaries.
- Conduct light research on market trends, regulatory updates (e.g., sustainability policies, URA guidelines), and comparable properties to support leadership.
- Maintain strong relationships with key contacts in the real estate ecosystem.
Requirements
Qualifications
- Diploma or Bachelor's degree in Business Administration, Real Estate, Secretarial Studies, Communications, or a related field.
- 2–5 years of experience as an Executive Assistant, ideally supporting senior leaders in real estate, asset management, property development, or a fast-paced professional services environment.
- Experience in Singapore's real estate sector is highly advantageous.
Technical Skills
- Advanced proficiency in Microsoft Office Suite (especially Excel for data compilation/tracking, PowerPoint for presentations, and Outlook for calendar/email management).
- Strong organizational and time-management skills with the ability to handle confidential information.
- Familiarity with property management tools, document management systems, or CRM software is a plus.
- Basic understanding of real estate concepts (leases, valuations, budgets) and Singapore regulations (e.g., URA, sustainability frameworks) is preferred but not essential.
