Administrative Executive

Job Summary

We are looking for a responsible and detail-oriented Administrative Executive to support daily office operations. The successful candidate will play a key role in ensuring smooth administrative processes and providing support across departments.

Responsibilities

• Provide general administrative support to maintain smooth daily office operations
• Maintain organized filing systems and accurate documentation of company records in both physical and digital formats
• Manage incoming calls, emails, and correspondence professionally to facilitate effective communication
• Prepare, format, and process documents, reports, and data entries accurately for internal use
• Coordinate meetings, appointments, and staff schedules to optimize time management
• Liaise with vendors and suppliers to manage office-related matters efficiently
• Monitor and manage office supplies inventory to ensure timely replenishment and avoid shortages
• Assist in coordinating internal processes and provide inter-departmental support to enhance collaboration
• Maintain accurate records and databases to support operational needs
• Perform ad-hoc administrative duties as assigned to support team and office functions

Requirements

• Minimum GCE ‘N’ / ‘O’ Level, NITEC, Diploma, or equivalent qualifications
• Basic knowledge of accounting or HR administrative functions
• Proficient in Microsoft Office applications (Word, Excel, Outlook)
• Good organisational and time management skills
• Strong attention to detail and accuracy
• Good communication and interpersonal skills
• Able to work independently and in a team
